How to Redact a Social Security Number in PDF Files

October 10, 2026

A Social Security number on a court filing, tax form or HR document is exactly the kind of detail that should be removed properly, not just covered with a black box. Here's how to redact a Social Security number in PDF files so it's truly gone — and how to check.

How much of the SSN to redact

For US federal court filings, Federal Rule of Civil Procedure 5.2(a) says a filing may include only the last four digits of a Social Security number or taxpayer-identification number. The same rule limits birth dates to the year, minors' names to initials, and financial-account numbers to the last four digits. Many state courts and organisations follow a similar convention, but check the rules that apply to you.

Outside court filings, redact as much as the recipient doesn't need. If nobody needs to see the number at all, remove all of it.

How to redact an SSN in PDF, step by step

  1. Open Redact PDF and drop in your document. It's processed in your browser — the file isn't uploaded.
  2. Find every place the number appears. SSNs often repeat: on each page of a tax return, in headers, on attached W-2s.
  3. Drag a box over each occurrence. To keep the last four digits visible, cover only the first five.
  4. Click Redact & Download.

Each page is rebuilt as an image with the boxes baked in, so the covered digits no longer exist anywhere in the file. That's what makes it a real redaction rather than a cosmetic one.

Why a black box isn't enough

Drawing a rectangle or using a black highlighter in an ordinary PDF editor only covers the text. The digits are still in the file, and anyone can select and copy them out. Court filings and public documents have exposed SSNs this way. Always test the result:

  1. Copy test: open the redacted PDF, select all text, paste it into a note. The redacted digits must not appear.
  2. Search test: search the PDF for the number, or for its first three digits. Nothing should be found.

Check what's hidden inside the file

Forms filled in on a computer can store data outside the visible page — in form fields or metadata. Before sharing, run the file through the Privacy Risk Scanner to find and strip hidden information. If the PDF still has fillable fields, flatten it first so the values become part of the page you're redacting.

FAQ

How do I redact an SSN in PDF files for free? Use Redact PDF: draw a box over the number on every page and download. It's free, needs no account and doesn't upload the file.

Do I need to remove the whole Social Security number? For federal court filings, you may leave the last four digits (FRCP 5.2). Otherwise, remove whatever the recipient doesn't need.

Can a redacted SSN be recovered? Not from a Handybin redaction — the covered text is removed, not hidden. Run the copy and search tests to make sure.

Does this work on scanned documents? Yes. You redact what you see on the page, whether the PDF contains text or a scanned image.
